Student Welfare Tracking
Student Welfare Tracking lets authorized staff log confidential concerns against individual student profiles. Concerns are visible only to staff with welfare access — never to students or parents.
- 1
Owner & Manager
Full access — log, edit, change status, export PDF, and view the Welfare dashboard.
- 2
Instructor (when enabled)
Access must be enabled by the studio owner in Settings → Studio. When enabled, instructors can log and view concerns on individual student profiles. They cannot access the Welfare dashboard or export PDFs.
- 1
Noted (yellow)
A concern has been observed and logged. This is the default status when a new concern is created.
- 2
Escalated (red)
The concern requires active attention or has worsened since it was first noted.
- 3
Referred (orange)
The concern has been referred to an outside authority, such as a school counselor or social services.
- 4
Resolved
The concern has been addressed. Resolved concerns are removed from the class register indicator but remain on file for audit purposes.
- 1
Welfare dot
A colored dot appears next to a student's name on the class register when they have an active (non-resolved) welfare concern. The dot color reflects the highest-severity open concern: red for Escalated, orange for Referred, yellow for Noted.
- 2
Visibility
The dot is only visible to staff with welfare access. Students and parents never see welfare indicators.
- 1
Open the student's Welfare tab
Navigate to the student's profile page and click the Welfare tab. This tab is only visible to staff with welfare access.
- 2
Export as PDF
Owners and managers can click the export button on any individual concern to download a PDF. The PDF includes the concern details and a confidentiality footer.
- 3
Use cases
Use the PDF export when sharing records with outside authorities or for formal documentation purposes.
