Tournament Management

Create and manage open tournaments that allow schools and independent competitors to register online. Set up divisions, collect entry fees via Stripe, and track registrations from a central dashboard.

Creating a Tournament

    Navigate to Tournaments

    Click 'Tournaments' in the left sidebar, then click 'Create Tournament' to open the 4-step setup wizard.

    Step 1 — Basics

    Enter the tournament name, URL slug, description, banner image, event dates, and venue details. The slug becomes the public registration URL (e.g. /t/spring-open-2026). The banner image appears at the top of the public registration page.

    Step 2 — Divisions

    Add one or more competition divisions. For each division, set the name, age range, belt rank range, gender filter, capacity, and per-division registration fee (in dollars). Competitors select one or more divisions when registering.

    Step 3 — Registration

    Configure the registration window (opens/closes dates), waiver requirements, entry options (school team registration, independent entries, bulk CSV import), and payment settings.

    Step 4 — Publish

    Review the summary and registration links. Click 'Publish Tournament' to open registration immediately, or 'Save as Draft' to publish later.

Managing Divisions

    Open the Divisions tab

    From the tournament detail page, click the 'Divisions' tab to see all divisions and their current registration counts.

    Edit a division

    Click the edit icon next to any division to update its name, age range, belt range, gender filter, capacity, fee, or status. Changes take effect immediately.

    Close a division

    Set a division's status to 'Closed' to stop accepting new registrations for that division without affecting others. Registrations already in that division are not affected.

    Mark a division as full

    When a division reaches its capacity limit, it is automatically marked as 'Full' and hidden from the competitor registration form. You can also manually set a division to 'Full' from the edit dialog.

    Delete a division

    Divisions with no registrations can be deleted. Divisions with existing registrations cannot be deleted — close them instead.

Managing Registrations

    Open the tournament

    From the Tournaments list, click on a tournament to view its detail page.

    View registered competitors

    The Competitors tab lists every individual entry, their selected divisions, registration status (pending/confirmed), payment status, and whether their belt rank has been verified.

    Unverified belt rank flag

    If a competitor self-reported their belt rank during registration and it has not been verified by a school admin or the organizer, it appears with an 'Unverified' badge. Review these entries before finalizing brackets.

    View registered schools

    The Schools tab shows all schools that have registered as teams, including their head coach contact and the number of competitors entered.

    Bulk CSV import

    Schools can import competitors in bulk via a CSV file if the 'Bulk Import' option is enabled. Imported entries appear immediately in the Competitors tab.

    Independent entries

    If 'Independent Entries' is enabled, competitors can register without being affiliated with a school. They appear in the Competitors tab with no school affiliation.

Brackets & Seeding

    Set up the bracket

    On a division's Brackets tab, choose the bracket type — single elimination, double elimination, round robin, or pool play followed by elimination — and any options like a 3rd-place match.

    Auto-seed competitors

    Auto-seed ranks confirmed competitors by belt rank and automatically separates teammates: competitors from the same school are placed in opposite halves of the bracket (and opposite pools in pool play), so they meet as late as possible — never in round 1 unless a school has more entries than the bracket has first-round matches.

    Adjust manually if needed

    Drag and drop competitors to reorder seeds after auto-seeding. Manual ordering is taken as-is — no automatic school separation is applied to manual seeds.

    Generate and publish

    Generate the bracket to create the match schedule, then publish it when you're ready. Published brackets can optionally be made publicly visible on the live results page.

    Change or delete a draft bracket

    While a bracket is in draft, use 'Bracket Settings' to change the format, pool configuration, or other options — changing the format clears generated matches but keeps your seeding. 'Delete Bracket' removes the configuration entirely so you can start over. Published brackets must be reverted to draft first.

    Print bracket sheets

    Once matches are generated, click 'Print PDF' on the bracket preview to download a printable bracket sheet for the ring — elimination brackets print as a tree, round robin and pools as a match list. Divisions split into groups get one print button per group bracket. To print everything at once, use 'Print All Brackets' on the Brackets tab — every division's bracket in a single PDF, one sheet per bracket.

School Management

    View registered schools

    Go to the Schools tab on the tournament detail page to see every school that has submitted a team registration, including their head coach name, email, and number of competitors.

    Invite a school

    Click 'Invite School' to send a school registration link directly to a coach's email address. The invitation includes a unique link to the school registration form.

    Resend the school portal link

    If a coach has lost their access link, click the actions menu next to their school and select 'Resend Portal Link'. A new login link is emailed to the coach immediately.

    School admin portal

    Each school gets a private portal at /t/[slug]/school/portal where coaches can add, edit, and remove competitors, upload CSV imports, and view payment status — all without needing a MyDojang account.

    Remove a school

    Schools can be removed from the tournament if they have no confirmed (paid) registrations. Removing a school also removes all of their pending competitor entries.

Issuing Refunds

    Find the competitor registration

    Open the tournament detail page and navigate to the Competitors tab. Locate the registration you want to refund.

    Open the refund dialog

    Click the actions menu next to the competitor entry and select 'Refund'. A dialog will appear showing the amount paid.

    Enter refund amount

    Enter the amount to refund in dollars. Partial refunds are supported — you can refund less than the full registration fee.

    Add an optional reason

    Optionally add a reason for the refund (e.g. 'Competitor withdrew due to injury'). This is stored internally and not shown to the competitor.

    Confirm the refund

    Click 'Issue Refund'. The amount is returned to the competitor's original payment method via Stripe. Refunds typically appear within 5–10 business days.

Tournament Settings

    Editing a draft tournament

    Tournaments in DRAFT status can be edited at any time. Open the tournament and click 'Edit' to update any details including dates, description, and registration options.

    Closing registration early

    To stop accepting new registrations before the configured close date, change the tournament status to 'Closed' from the tournament settings menu. Existing registrations are not affected.

    Directory listing

    Enable 'List in Directory' to make the tournament discoverable on the public MyDojang tournament directory at mydojang.net/t. This allows schools not directly invited to find and register for your event.

    Digest emails

    Enable digest emails to receive a daily summary of new registrations. The digest is sent each morning and includes new competitors, new schools, and total registration counts.

    Archiving a tournament

    After a tournament concludes, set its status to 'Archived' to remove it from active views while keeping all registration records for your records.

Points Standings

    Enable Points Standings

    Go to Tournament Settings → Points Standings and toggle 'Enable Points Standings' on. Once enabled, a live standings board appears on the Standings tab.

    Configure placement points

    Set the number of points awarded for 1st through 4th place and for participation. The defaults are 1st = 10 pts, 2nd = 7 pts, 3rd = 5 pts, 4th = 3 pts, participated = 1 pt.

    Grand Champion bonus

    If you have a Grand Champion division (marked as Grand Champion in the division settings), you can award a flat bonus to the winner on top of their regular placement points. The default bonus is 15 pts.

    Weight by division size

    Enable 'Weight by Division Size' to automatically scale points based on how competitive each division is. Divisions with 8+ competitors earn 1.5× points; 4–7 competitors earn 1.0×; fewer than 4 earn 0.75×. This rewards competitors who win in larger, more competitive fields.

    View the live standings board

    Open the Standings tab on the tournament detail page to see the live leaderboard. It refreshes automatically every 30 seconds. Click 'Fullscreen' to project the board on a screen at the venue.

    Tiebreakers

    When two competitors have the same total points, ties are broken by: (1) most 1st-place finishes, (2) most 2nd-place finishes, (3) most 3rd-place finishes, (4) Grand Champion bracket placement. Competitors are only listed as co-champions when equal on every criterion.

Spectator Live View

    Share the Live View link

    On the Tournament Overview page, find the 'Spectator Live View' card. Copy the link and post it in your tournament program, on a screen, or share it in group chats. Spectators open it on their phones — no account needed.

    What spectators see

    The Live View page has two tabs: Standings (overall points leaderboard, if enabled) and Brackets (per-division match progress with links to the full bracket trees). Everything updates automatically every 30 seconds.

    Standings tab

    Shows the top competitors ranked by total points with medal indicators. Spectators can see who's leading overall across all divisions at a glance.

    Brackets tab

    Shows each division with a progress bar (matches complete out of total), a status badge (Not Started / In Progress / Final Results), and a link to the full bracket tree for that division.

    Who can see it

    Anyone with the link. No login required. Only brackets you have marked as 'Publicly visible' are shown. Divisions whose brackets haven't been published yet appear as 'Pending' in the list.

Day-of Check-In

    Open the Check-In tab

    On competition day, open your tournament and click the 'Check-In' tab. You'll see a live count of who's here vs. still expected, plus a per-division breakdown.

    Print competitor badges

    Click 'Print Badges' to download a PDF of competitor badges — six per page at the standard 4×3 inch badge size, one badge per competitor listing their school, belt, and all registered divisions. Badges are sorted by school so they can be handed out in team batches. Each badge includes a QR code that opens the public live results page focused on that competitor's divisions — competitors and parents scan it to track where their brackets stand all day.

    Check in a competitor

    Search by name or school in the search bar. Click 'Check In' next to the competitor when they arrive at the table. The status badge turns green immediately with the check-in time.

    Bulk check-in by school

    Filter by a school name, then click 'Check In All from [School]' to check in everyone from that school at once. Already-checked-in competitors are skipped automatically.

    Finalize Check-In

    When you're ready to start competition, click 'Finalize Check-In'. Any competitor who hasn't checked in is marked as a No-Show — their bracket slot becomes a bye and their round-1 opponent automatically advances. This keeps brackets clean without manual editing.

    Undo Finalization

    If you finalized too early or a late arrival shows up, click 'Undo Finalization' to restore all no-shows to Confirmed status. You can only undo while no match scores have been recorded.

Tournament Staff Roles

    Overview — two scoped roles

    Owners and Managers have full access to every tournament. For competition-day helpers, MyDojang offers two additional tournament-scoped roles: Registrar and Judge. These roles only apply to the specific tournament you assign them to — they don't change the person's studio-wide access.

    Registrar

    Registrars handle the competitor side of the tournament: they can add, edit, and withdraw competitors; update registration statuses; send payment links to competitors with outstanding balances; and manage check-in on competition day. They cannot change tournament settings, issue refunds, publish brackets, or manage other staff.

    Judge

    Judges handle the bracket and scoring side: they can seed competitors, generate bracket matchups, assign brackets to rings, record match results, and manage rings. They can also check in competitors on competition day. They cannot change tournament settings, issue refunds, or publish/lock/revert brackets — those actions remain with Owners and Managers.

    Adding an existing user as staff

    Open Tournament Settings and scroll to the 'Tournament Staff' card. Enter their email address, select Registrar or Judge from the dropdown, and click Add. If the email matches an existing studio account, they are added immediately and receive a notification email. Their role badge appears in the staff list right away.

    Inviting an external person

    If the email address doesn't belong to an existing account, an invite email is sent. The recipient clicks the link in the email to set up an account (they become a Member of your studio) and are linked to the tournament as the selected role automatically when they accept. Their entry shows a 'Invite pending' badge until accepted.

    Removing a staff member

    Click the × button next to any staff member in the Tournament Staff card to remove them. They immediately lose access to the tournament. If their invite hasn't been accepted yet, the invite link is invalidated as well.

    What staff users see

    Staff users see only their assigned tournaments on the Tournaments list page, each labeled with their role (Registrar or Judge). Within a tournament, tabs and buttons that require Owner/Manager access — such as tournament settings, the refund button, and bracket publish/lock controls — are hidden or disabled for staff.

Weigh-Ins & Division Reassignment

    Enable weigh-ins in Tournament Settings

    Open Tournament Settings and scroll to the 'Weigh-In' card. Toggle 'Enable Weigh-Ins' on. Set the weigh-in window (opens and closes datetimes — the window can open the night before competition day; closes-at must be after opens-at). Choose the display unit (lbs or kg — all weights are stored in lbs internally, the unit only affects what is shown on screen and in printouts). Optionally set a reassignment fee in dollars; enter $0 to allow free division moves.

    Who can record weigh-ins

    Owners, Managers, Registrars, and Judges can all record weigh-ins from the Check-In tab. Only Owners, Managers, and Registrars can reassign a competitor to a new division or disqualify them — Judges can record weights but not move or DQ competitors.

    Pre weigh-ins (self-check stage)

    The dialog defaults to 'Pre weigh-in' mode. Use this for early weigh-ins where the competitor may still cut weight and retry. Pre attempts save the reading and show PASS/MISS evaluations, but do not lock the weight of record. Competitors can be reassigned to a different division during the pre stage if they miss a weight-bounded division.

    Official weigh-in (weight of record)

    Switch the dialog to 'Official' before recording the final scale reading. The official weight is the binding result — it is stored separately from pre attempts, displayed in the school portal, and drives the '✓ Weighed in' badge on the public live page. Staff can re-record an official weight (for example, to correct a data-entry error), and each change is preserved in the attempt history with the recording staff's name.

    Late override

    If you record a weight outside the configured weigh-in window, the dialog requires a confirmation ('late override') and a mandatory reason note before saving. This produces a late-flagged attempt in the history so you have a record that the recording happened outside the official window.

    What PASS and MISS mean

    PASS means the measured weight falls within the division's minimum and maximum weight bounds. MISS means it falls outside those bounds — the competitor is not eligible to compete in that division as registered. Divisions without weight bounds are not evaluated (weight is not relevant to them).

    Reassigning after a missed weight

    A MISS surfaces a 'Reassign' button for Owners, Managers, and Registrars. Click it to see a list of eligible target divisions — only divisions where the measured weight fits the bounds, the competitor meets the age, belt, and gender criteria, the division is still OPEN, the division is not a Grand Champion division, and there is capacity available are shown. Brackets must still be in DRAFT to allow reassignment; if a bracket has been published, revert it to draft first. Reassignment can be initiated from either a pre or official miss.

    Disqualifying after an official miss

    After recording an official weigh-in that produces a MISS, a 'Disqualify' button appears alongside Reassign (for Owners, Managers, and Registrars only). Disqualification applies to that division only — the competitor is marked DISQUALIFIED in that division's registration. If the bracket is published, their slot becomes a bye and their round-1 opponent automatically advances. DQ can be undone while the division's brackets are all still in DRAFT and no match scores have been recorded.

    Paying the reassignment fee — Stripe QR code

    If a reassignment fee is configured, the desk shows a Stripe Checkout QR code. The competitor (or their coach) scans the code on their phone and pays using any card. Once payment completes, the Stripe webhook automatically moves the registration to the new division. If the target division filled or its bracket was published while payment was in flight, the move is cancelled and the fee is automatically refunded — the desk shows a clear failure message so you can choose a different division.

    Paying the reassignment fee — cash at desk

    If the competitor is paying cash, click 'Paid at Desk'. The registration is moved immediately with no Stripe charge. Use this only when you have collected payment separately.

    Free reassignments

    When the reassignment fee is set to $0, the move happens immediately with no payment step — either the QR or the desk button completes it instantly.

    Printable Weigh-In Sheet

    From the Check-In tab, click 'Print Weigh-In Sheet' to download a PDF. Competitors who are registered in at least one weight-bounded division are listed, grouped by school, with blank lines for the scale reading and staff initials. Print one copy per station and fill it in by hand during weigh-ins, then record the results digitally in the system.

    What coaches see (school portal)

    Coaches logged into the school portal see the weigh-in window dates prominently and a per-competitor status column: a dash before weigh-ins; 'pre: [weight]' (muted) if only a pre weigh-in is recorded; '✓ [weight]' once an official weigh-in is recorded; 'Missed' (destructive) if the official weigh-in shows a miss on a bounded division; and a DQ badge if the competitor has been disqualified from a division.

    What competitors see (public live page)

    On the public live results page, a competitor shows a small '✓ Weighed in' badge on their profile card once an official weigh-in has been recorded. The badge does not appear for pre-only weigh-ins. The actual weight value is never shown publicly.

MyDojang
