Manage your studio settings, security preferences, payment processing, and organization details. Keep your account secure and configured for your specific needs.

Studio URL & Code

    Navigate to Settings

    Click 'Settings' in the left sidebar to access your studio configuration.

    Find Studio Information section

    Scroll to the 'Studio Information' section near the top of the settings page.

    View your studio code

    Your unique studio code is displayed prominently. This code is required for all staff and member logins.

  4. 4

    Copy and share

    Click the copy button to copy your studio code or URL. Share this with new members and staff so they can access your studio.

QR Code Branding
  1. 1

    Find the QR code branding card

    On the Settings page, scroll to the 'QR code branding' card. It controls every QR code your studio generates — flyers, kiosk, member check-in cards, and more.

    Choose MyDojang branding (default)

    Codes are framed with the MyDojang mark and wordmark. No setup required.

  3. 3

    Choose your own branding

    Codes are framed with your studio name and a color you pick. If you've uploaded a studio logo, it appears in the center of the code automatically.

    Pick a brand color

    The color you choose only paints the frame around the code — never the code itself — so any color you pick is safe and will never make a code unscannable.

    Choose no branding

    Codes render as a plain, unframed QR code with no mark or wordmark.

    Preview before you commit

    The live preview below the options updates immediately as you switch modes, so you can see exactly what will print or display before saving.

Changing Your Password

    Go to Settings

    Click 'Settings' in the left sidebar navigation menu.

    Find Security section

    Scroll down to the 'Security & Privacy' section on the settings page.

  3. 3

    Click Change Password

    Click the 'Change Password' button to open the password update form.

  4. 4

    Enter passwords

    Type your current password, then enter your new password twice to confirm. Choose a strong password with letters, numbers, and symbols.

  5. 5

    Save changes

    Click 'Save' to update your password. You'll remain logged in on your current device.

  6. 6

    Temporary passwords

    If your account was created by an administrator, you may have been given a temporary password. On your first login, you'll be required to change it before accessing the dashboard. Check your welcome email for your temporary password and login URL.

Two-Factor Authentication (MFA)

    Navigate to Settings

    Click 'Settings' in the left sidebar. Scroll down to the 'Two-Factor Authentication' card in the Account Security section.

    Start setup

    Click 'Set Up Two-Factor Authentication'. A QR code will appear that you can scan with any authenticator app (Google Authenticator, Authy, Microsoft Authenticator, etc.).

    Scan the QR code

    Open your authenticator app and scan the QR code. If you can't scan it, click to reveal the manual entry code and type it into your app.

    Verify with a code

    Enter the 6-digit code from your authenticator app to confirm setup. This proves your app is correctly configured.

    Save your backup codes

    After verification, you'll receive 10 one-time backup codes. Save these in a secure location — they're the only way to access your account if you lose your authenticator device.

    Manage MFA settings

    Once enabled, you can optionally turn on email verification codes as an alternative method, regenerate backup codes (requires your password), or disable MFA entirely from the same settings card.

Stripe Connection

    Access Settings

    Navigate to Settings from the left sidebar.

    Go to Billing & Payments

    Scroll to the 'Billing & Payments' section to manage your payment processing.

  3. 3

    Connect Stripe account

    If not already connected, click 'Connect Stripe' to authorize MyDojang to process payments through your Stripe account.

  4. 4

    Authorize and verify

    Follow Stripe's authorization flow. You'll need to create a Stripe account or connect an existing one and complete identity verification.

    Disconnect if needed

    If you need to disconnect your Stripe account, click 'Disconnect Stripe' and confirm. Note: This will prevent new billing enrollments.

Organization Details & Plan Management

    View organization ID

    Your unique organization ID is shown in the 'Organization Details' section. This ID may be needed for support requests.

    Check your plan tier

    See your current subscription plan (Starter, Professional, or Enterprise) and what features are included.

  3. 3

    Review account information

    Verify your organization name, primary contact email, and billing details are correct.

    Change your plan

    Navigate to Billing > 'Change Plan' to view available plans and upgrade or downgrade. You can compare features side-by-side before confirming.

    Upgrade for more features

    Higher-tier plans unlock features like advanced reporting, marketing handouts, custom domains, and more. Changes take effect immediately via Stripe.

Custom Email Domain
  1. 1

    Plan requirement

    Custom email domains are available on the Professional and Enterprise plans. If you don't see the email domain section in Settings, you may need to upgrade your subscription. Go to Billing > Change Plan to compare plans and upgrade.

    Why set up a custom email domain?

    By default, all email notifications (class reminders, billing alerts, invitations, password resets, etc.) are sent from [email protected]. Setting up your own domain lets emails come from an address you control, like [email protected]. This builds trust with your members, improves email deliverability, and gives your studio a more professional appearance.

    Before you start

    You'll need access to your domain's DNS settings. This is usually managed at your domain registrar — the company where you purchased your domain (e.g., GoDaddy, Namecheap, Google Domains, Cloudflare, Squarespace). If someone else manages your domain, you'll need to ask them to add DNS records for you. The entire process takes about 5 minutes of setup, plus some wait time for DNS propagation.

    Step 1: Enter your domain name

    Go to Settings and scroll to the 'Email Notifications' section. Type your domain name (e.g., yourstudio.com) into the domain field and click 'Set Up Domain'. Do not include 'www' or 'https://' — just the bare domain name.

    Step 2: Copy the DNS records

    After clicking 'Set Up Domain', you'll see a table with 3 CNAME records. Each record has a Type (CNAME), a Host name, and a Value. Use the copy button next to each Host and Value to copy them to your clipboard. You'll need to add all 3 records at your registrar.

    Step 3: Add DNS records at your registrar

    Log in to your domain registrar and find the DNS management page. Add 3 new CNAME records using the Host and Value from the table. The exact steps vary by registrar — look for 'DNS', 'DNS Records', or 'DNS Management' in your registrar's dashboard. When adding each record, set the Type to CNAME, paste the Host into the Name/Host field, and paste the Value into the Points To/Value/Target field.

    Step 4: Wait for DNS propagation

    DNS changes can take anywhere from a few minutes to 48 hours to propagate across the internet. Most changes take effect within 1–2 hours. You can continue using MyDojang normally during this time — emails will keep sending from the default address until setup is complete.

    Step 5: Verify your DNS records

    Return to Settings > Email Notifications and click 'Verify DNS Records'. If the records have propagated, each record will show a green 'Valid' badge and your domain status will change to 'Verified'. If verification fails, wait a bit longer and try again — DNS propagation isn't instant.

    Step 6: Set your from email address

    Once your domain is verified, you'll see an email input field. Enter the email address you want notifications to come from (e.g., [email protected], [email protected], or [email protected]). The address must use your verified domain. This doesn't need to be a real inbox — it's the 'from' address your members will see.

    Step 7: Verify your email address

    Click 'Send Verification Email'. A confirmation email will be sent to the address you entered. Open that email and click the verification link. This confirms you have access to the inbox (or can receive mail at that address). The link expires after 24 hours.

    Step 8: You're all set!

    Once both your domain and email address are verified, all future email notifications from your studio — invitations, reminders, billing alerts, password resets — will be sent from your custom address. You'll see green 'Verified' badges next to both your domain and email in Settings.

    Changing or removing your custom email

    You can change your from address at any time by clicking 'Change Email' in Settings — you'll need to verify the new address. To remove the custom domain entirely, click 'Remove Domain'. This will revert all emails to the default MyDojang address.

Class Reminders

    What are class reminders?

    MyDojang automatically sends email reminders to enrolled students (or their parents) about upcoming classes. There are two types: an evening reminder sent the night before class, and a morning reminder sent the morning of class.

    Configure reminder timing

    Go to Settings and find the 'Class Reminders' section. You'll see two toggles: 'Evening Reminder' (sent at 6 PM ET the day before class) and 'Morning Reminder' (sent at 6 AM ET the day of class). Both are enabled by default.

    Enable or disable reminders

    Toggle each reminder type on or off. Changes take effect immediately — no save button needed. If you disable both, no automated class reminders will be sent.

    How reminders work

    The system checks which classes are scheduled for the target day, finds all actively enrolled students, and sends each parent/member a personalized reminder with the student's name, class name, and time. Parents with multiple children in the same class get a separate reminder for each child.

    Member opt-out

    Individual members can disable class reminders from their own notification preferences. This respects both the studio-level setting (your toggle) and the member's personal preference.

Notification Channels

    Navigate to notification settings

    Go to Settings > Notifications to view and configure your studio's notification preferences.

    What notification channels are

    Notification channels let you control how each notification type is delivered to your members: via Email, SMS, or both. This gives you granular control over which communications go out by which method.

    Configure channels per notification type

    On the Notification Channels tab, you'll see toggle switches for each notification type (Class Reminder, Class Cancelled, Schedule Change, Billing Alert, etc.). For each notification type, you can enable Email delivery, SMS delivery, or both.

    Toggle Email or SMS

    Click the toggle switches to enable or disable Email or SMS for each notification type. Changes save automatically — no save button needed. For example, you might enable SMS for urgent notifications like class reminders, but keep billing alerts email-only.

    SMS opt-in required

    Members will only receive SMS notifications if they've opted in and provided a valid phone number. Even if you enable SMS for a notification type, only opted-in members will receive texts. Email does not require opt-in.

Email Notification Templates

    Navigate to notification templates

    Go to Settings > Notifications to view and customize your studio's email templates.

    Available template types

    You can customize 6 template types that your members and staff receive: Class Reminder, Schedule Change, Billing Alert, Progress Update, Message Received, and Event Reminder. Each template shows a description of when it's sent.

    Edit a template

    Select a template type from the left sidebar, then edit the subject line and body text. Use the available variable badges (e.g., {{studentName}}, {{className}}) to insert dynamic content — click a variable to insert it at your cursor position.

    Enable or disable templates

    Use the toggle switch at the top of each template to enable or disable it. Disabled templates will not be sent.

  5. 5

    Reset to default

    If you've customized a template and want to revert it, click 'Reset to Default'. Templates marked with a 'Custom' badge have been modified from the system default.

    System templates

    Some email types (password resets, MFA codes, payment setup) are managed by the platform and cannot be customized by studio owners. These system templates are not shown in your template list.

SMS Message Templates

    Navigate to SMS templates

    Go to Settings > Notifications > SMS Templates to view and customize your studio's SMS message templates.

    What SMS templates are

    SMS templates control the text message content sent to your members for notifications. You can customize the message for each notification type to match your studio's voice and branding. Templates are limited to 320 characters to ensure they send as single SMS messages.

    Available template types

    You can customize SMS templates for all notification types: Class Reminder, Schedule Change, Billing Alert, Progress Update, Message Received, Event Reminder, and automated messages (Missed Class, Upcoming Class, Birthday, Welcome, Win-Back, Anniversary, Payment Past Due).

    Edit an SMS template

    Select a template type from the left sidebar. Edit the message text using the available variable placeholders (e.g., {{studentName}}, {{className}}, {{time}}). Click a variable badge to insert it at your cursor position. A character counter shows remaining space (max 320 characters).

    Template priority

    SMS templates follow a 3-tier priority system: 1) Your custom tenant template (if set), 2) System default template (managed by platform admins), or 3) Hardcoded fallback. If you customize a template, it will always be used instead of the system default.

    Reset to default

    If you've customized a template and want to revert it, click 'Reset to Default'. This removes your custom template and falls back to the system default. Templates marked with a 'Custom' badge have been modified from the system default.

Trial Class Pass

    What is the trial class pass?

    The trial class pass feature allows prospective students to sign up for trial classes on a public landing page without creating a full account. They receive a QR code for kiosk check-in.

    Enable trial passes

    Go to Settings > General and toggle on 'Enable Trial Class Pass'. Once enabled, your studio's trial landing page becomes publicly accessible.

    Your trial landing page URL

    Your trial page is at your-studio.mydojang.net/try-a-class. Share this URL on social media, your website, email campaigns, or advertising to let prospective students sign up easily. Older links in the form mydojang.net/try-a-class/your-studio still work — they redirect to the short URL — so any flyer or ad you've already printed keeps working.

    Set trial limits

    Configure the maximum number of classes a trial student can attend before needing to convert to a full membership. The default is 2 classes. Adjust this in Settings based on your trial policy.

    How trial students check in

    After signing up, trial students receive an email with their unique QR code. They scan this code at the kiosk to check in, just like regular members. They'll appear with a 'Trial' badge in your check-in list.

    Managing trial students

    View all trial students by going to Dashboard > Students and filtering by 'Trial' status. You'll see their contact information, trial check-in count, and sign-up date.

    Converting to members

    When a trial student decides to join, click 'Convert to Member' on their profile. Fill in the required details (belt rank, program, billing plan) to create a full member account. All trial attendance history is preserved.

    Disable if needed

    Turn off trial passes at any time by toggling off the feature in Settings. Existing trial students can still check in using their QR codes, but new sign-ups will be disabled.

Submitting Support Tickets

    Navigate to Support

    Click 'Support' in the left sidebar to access the support ticket system.

  2. 2

    Create a new ticket

    Click 'New Ticket' to open the submission form. Choose a ticket type: Bug Report (for issues or errors), Feature Request (for new functionality), or General Support (for questions or help).

    Fill in the details

    Enter a brief subject line summarizing your issue or request (max 200 characters). In the description field, provide as much detail as possible — for bug reports, include steps to reproduce the issue.

    Complete verification and submit

    Complete the security verification, then click 'Submit Ticket'. Your ticket will be sent to the MyDojang support team and you'll see a confirmation.

    Track your tickets

    All your submitted tickets appear in the 'Your Tickets' table below the form. Each ticket shows its type, current status (Open, In Progress, Resolved, or Closed), and submission date.

    Check for updates

    Ticket statuses update automatically as the support team works on them. You can return to the Support page anytime to check on your tickets.

Closing Your Account

    Navigate to Settings

    Click 'Settings' in the left sidebar. Only studio owners can close an account — staff and members will not see this option.

    Find the Danger Zone

    Scroll to the very bottom of the Settings page. You'll see a red-bordered 'Danger Zone' section.

    Click Close Account

    Click the 'Close Account' button. A confirmation dialog will appear explaining what happens when you close your account.

  4. 4

    Type your studio name to confirm

    To prevent accidental cancellations, you must type your exact studio name in the confirmation field. The 'Close Account' button will remain disabled until the name matches.

    What happens next

    Your subscription will be cancelled at the end of the current billing period — you keep full access until then. An amber 'Pending Cancellation' banner will appear on your dashboard showing the date your account will be deactivated. Your data is preserved after cancellation, and you can reactivate at any time by choosing a new plan.

    Undo a pending cancellation

    Changed your mind? While your cancellation is still pending (before the billing period ends), go to Settings and click 'Undo Cancellation' in the Danger Zone section. Your subscription will continue as normal and the pending cancellation banner will disappear.

    Account status banners

    Your dashboard displays status banners based on your account state: an amber banner for pending cancellation, an orange banner if your account is suspended (payment issues), and a red banner if your account has been cancelled. Suspended accounts have a grace period before automatic cancellation, and you'll receive outstanding balance reminders every 7 days.

Reactivating a Cancelled Account

    Visit your studio URL

    Go to your studio's subdomain (e.g., your-studio.mydojang.net). You'll be automatically redirected to the reactivation page.

  2. 2

    Enter the owner's email

    Enter the email address of the studio owner. Only the owner can reactivate the account — staff or members will see a message to contact the owner.

    Choose a subscription plan

    Select a plan from the available options. Your previous plan will be highlighted with a badge so you can easily pick it again, or choose a different one.

    Complete payment

    You'll be redirected to Stripe Checkout to enter your payment details. Once payment is confirmed, your account is immediately reactivated.

    Log back in

    After successful reactivation, you'll see a confirmation page with a link to your studio's login page. All your data (students, schedule, billing history) will be right where you left it.

Member Account Deletion Requests

    What is account deletion?

    Members and staff can request deletion of their own account (right to be forgotten). When someone requests deletion, a 30-day grace period begins. After 30 days, the account is automatically anonymized and any active billing subscriptions are cancelled.

    How you're notified

    When a member requests deletion, the studio owner receives an email notification. You can also see pending deletions in the student detail page — a yellow warning banner will appear at the top of their profile.

    Viewing pending deletions in the student list

    Go to Dashboard > Students. Students with a pending deletion request will show a 'Pending Deletion' warning on their profile page. You'll see the date the request was made and how many days remain.

    Cancelling a deletion request on behalf of a member

    If a member asks you to cancel their deletion request (for example, they changed their mind and can't access their account), you can cancel it from their student detail page. Click the 'Cancel Deletion' button in the warning section at the top of their profile. This immediately stops the deletion process.

    What happens after 30 days

    After the grace period ends, the member's personal information (name, email, phone, password) is automatically removed by a nightly process. Their check-in history may remain for your studio records, but it will no longer be linked to their identity. Any active billing subscriptions they have will be cancelled.

    Staff and owner accounts

    Staff members can also request deletion of their own account from their dashboard settings. Studio owners cannot use the Delete My Account option — they must use the Close Account flow in their Danger Zone instead.
