Scheduling

Create recurring and one-time classes, manage your weekly schedule, set belt requirements, and track attendance. Classes can span multiple days of the week and have optional end dates.

Creating a Recurring Class

    Navigate to Schedule

    Click 'Schedule' in the left sidebar to access your class management page.

    Click 'Create Class'

    Click the 'Create Class' button to set up a new class.

    Enter class name

    Give your class a descriptive name like 'Little Tigers', 'Teen Sparring', or 'Adult Beginner Fundamentals'.

    Choose 'Recurring'

    Make sure the 'Recurring' toggle is enabled (it is by default). This means the class repeats every week on the selected days.

    Select days of the week

    Check one or more days when this class occurs. For example, check both Monday and Wednesday for a class that meets twice a week.

    Set time and capacity

    Enter the start time, end time, and optional maximum capacity for the class.

    Choose location and instructors

    Select which location this class takes place at and assign one or more instructors.

    Set recurrence end date (optional)

    Optionally set an end date after which the system will stop generating new instances. This is useful for seasonal programs or limited-run classes.

    Save class

    Click 'Save' to create the class. Instances will be automatically generated for the upcoming weeks.

Creating a One-Time Class

    Click 'Create Class'

    From the Schedule page, click the 'Create Class' button.

    Turn off 'Recurring'

    Toggle off the 'Recurring' switch. The day-of-week checkboxes will be replaced by a specific date picker.

    Select the date

    Choose the specific date this one-time class will take place.

  4. 4

    Fill in class details

    Enter the name, time, location, instructors, and capacity as usual.

    Save

    Click 'Save'. A single class instance will be created for the selected date. It will not repeat.

Weekly Schedule

    View weekly grid

    The Schedule page displays all your classes in a weekly calendar grid, organized by day and time.

    Filter by location

    Use the location filter dropdown to show classes from a specific location or view all locations together.

  3. 3

    Navigate weeks

    Use the previous/next week arrows to view past or future schedules.

  4. 4

    View class details

    Click on any class block to see details including enrolled students, attendance count, and instructor.

    Quick actions

    From the weekly view, you can quickly mark attendance, cancel a class instance, or edit the class.

Managing Instances

    Understanding instances

    Each occurrence of a class is called an 'instance'. For a class that meets Monday and Wednesday, each day is a separate instance with its own attendance record.

    View instance details

    Click on a specific class instance in the weekly calendar to see details for just that occurrence.

    Cancel an instance

    To cancel a single class (e.g., for a holiday), click the instance and select 'Cancel This Class'. Students will see it marked as cancelled and will automatically receive a Class Cancelled notification via push, email, and/or SMS based on your studio's notification channel settings.

    Cancellation does not affect future weeks

    Cancelling one instance does not delete the class. The class will appear again on its next scheduled day.

    View attendance per instance

    Each instance tracks its own attendance. Click on a class to see who checked in for that specific day.

    Editing a class

    To edit a class, click 'Edit' on the class card. You can choose to regenerate future instances if you change the schedule. Past instances and attendance records are preserved.

    Deactivating and reactivating a class

    To take a class off the schedule (e.g., for the off-season), click 'Deactivate' on the Manage Classes page. Future instances are cancelled but history is kept. Click 'Reactivate' on the same page to bring it back — upcoming instances return to the schedule automatically.

Belt Requirements

    Edit class

    On the Schedule page, find the class and click 'Edit' to open the class settings.

    Set minimum belt rank

    Use the 'Minimum Belt' dropdown to select the lowest belt rank allowed in this class (e.g., Yellow Belt for intermediate classes).

    Set maximum belt rank

    Optionally set a 'Maximum Belt' to create beginner-only or intermediate-only classes (e.g., max Red Belt for non-black belt students).

    Enforce requirements

    Students whose current belt is outside the allowed range will not be able to check in to the class at the kiosk.

    Instructor override

    Instructors can manually mark attendance for students regardless of belt requirements, allowing exceptions when appropriate.

    Update as needed

    You can change belt requirements at any time. Changes apply to future class instances immediately.

Assigning Instructors

    Edit class

    Click 'Edit' on a class to open the class settings.

  2. 2

    Select instructors

    Use the instructor checkboxes to assign one or more staff members to this class.

  3. 3

    Multiple instructors

    You can assign multiple instructors for team-taught sessions. All assigned instructors will appear on the schedule and handouts.

    Instructor permissions

    Staff members can view their assigned classes and mark attendance.

  5. 5

    Change instructors

    You can reassign instructors at any time. This updates future instances but does not change past attendance records.

    Instructor schedule view

    Instructors can filter the schedule to see only their assigned classes for easy planning.

Class Waitlist

    What is the waitlist?

    When a class reaches full capacity, students can join a waitlist. They'll be automatically notified when a spot opens up.

    How it works

    Students are added to the waitlist in first-in, first-out (FIFO) order. When someone drops from a full class, the first student on the waitlist gets notified.

    Automatic notifications

    Students receive an email and push notification when a spot becomes available. They'll have a limited time to accept the spot before it's offered to the next person in line.

    View waitlist

    Click on a class in the schedule to see how many students are on the waitlist. You can also manually add or remove students from the waitlist.

    Managing capacity

    If a class consistently has a long waitlist, consider increasing the capacity or adding another session at a different time.

    Waitlist reports

    Track waitlist activity in Dashboard > Reports to identify which classes have the highest demand and optimize your schedule accordingly.
