Retention & Engagement

Identify students who may be drifting away, spot who is ready to test for their next belt, and celebrate students who are building consistent training habits. These tools live under the Students section of your dashboard.

At-Risk Students

    Navigate to At-Risk

    In the sidebar, click 'Students', then select the 'At-Risk' tab. The page lists every active student who has not checked into a class within your configured absence threshold.

    Set the absence threshold

    Use the 'Days absent' selector at the top of the page to choose how long a gap counts as at-risk (e.g., 14, 21, or 30 days). The list updates instantly. 'Days absent' is measured from the student's most recent check-in to today — students with no check-ins at all are always included.

    Review the list

    Each row shows the student name, their last check-in date, and how many days have elapsed. Sort by days absent to prioritise students who have been away the longest.

    Take action

    Click a student's name to open their detail page where you can view their full attendance history, send a message, or note any follow-up. You can also use Broadcast Messaging to reach all at-risk students at once.

Belt Test Readiness

    Navigate to Belt Test Readiness

    Open 'Students' in the sidebar, then click the 'Belt Test Readiness' tab. The table shows every active student alongside three readiness signals.

    Understand the three signals

    Time-in-rank: how many days the student has held their current belt rank. Curriculum %: the percentage of required curriculum items marked complete. 30-day attendance: the number of check-ins recorded in the last 30 days. Each signal is shown as a coloured badge for quick scanning.

    Read the overall status

    The 'Readiness' column shows one of three statuses — READY (all signals are strong), ALMOST (one or two signals are borderline), or NOT READY (one or more signals are well below the threshold). Use this column to sort or filter the list.

    Invite to test

    For students marked READY or ALMOST, click 'Invite to Test' to open a pre-filled message dialog. Sending the invite notifies the student (and their guardian if applicable) that the instructor believes they are a candidate for the upcoming belt test.

Training Streak

    What the streak tracks

    A training streak counts consecutive calendar weeks in which a student has at least one confirmed check-in. The week boundary is Sunday–Saturday. Missing an entire week resets the streak to zero; a single check-in in any class on any day of the week keeps it alive.

    Where staff see streaks

    Open a student's detail page (Students → select a student). The streak stat appears in the summary card at the top of the page, alongside attendance totals and the last check-in date.

    Where members see streaks

    Members and parents can view their own streak on the member portal dashboard. The streak card shows the current week count and the student's tier badge.

    Streak tiers

    Streaks progress through three tiers based on the number of consecutive weeks: Bronze (3–4 weeks), Silver (5–6 weeks), and Gold (7 weeks or more). Each tier has a distinct badge colour displayed in the portal and on the student detail page.
