Kiosk Check-In
Set up and manage self-service check-in kiosks at your locations. Allow students to check in quickly using QR codes or PINs, streamlining your front desk operations and improving attendance tracking.
- 1
Location-specific kiosks
Each location in your studio has its own unique kiosk URL. This ensures students are checked in at the correct location and attendance is tracked accurately.
- 2
Configure in Locations page
Go to Settings > Locations to view all your studio locations. Each location automatically has a kiosk URL generated when it's created.
- 3
Location details
Make sure your location has all necessary details configured, including name, address, and active status. Only active locations will have functional kiosk check-in.
- 1
Navigate to location
Go to Settings > Locations and click on the specific location where you want to set up the kiosk.
- 2
Copy the kiosk URL
On the location detail page, find the 'Kiosk URL' section. Click the copy button to copy the unique URL to your clipboard.
- 3
Open in browser
Paste the URL into any modern web browser on your kiosk device (tablet, computer, or dedicated screen). The kiosk interface will load automatically.
- 4
Bookmark or save
Bookmark the URL or set it as the homepage on your kiosk device for quick access. The URL never changes, so you only need to set this up once.
- 1
Member QR codes
Each member has a unique QR code available in their mobile app or member portal. They can display this code on their phone screen when arriving at the studio.
- 2
Scan with kiosk
On the kiosk screen, select a class and choose the 'Scan QR' tab. The camera activates on the first scan and stays active for all subsequent check-ins — no need to grant camera permission again between students.
- 3
Hold up code
The member holds their phone screen up to the kiosk camera. The system recognizes the QR code and checks them in instantly.
- 4
Confirmation message
A success message appears on the kiosk screen confirming the check-in. The member's attendance is recorded immediately in the system.
- 1
Student PINs
Each student is assigned a unique 6-digit PIN that they can use for check-in. Parents and members can find their PIN in their account settings or member portal.
- 2
Select PIN entry
On the kiosk screen, students select 'PIN Check-In' to bring up the number pad interface.
- 3
Enter PIN
The student enters their 6-digit PIN using the on-screen number pad. The PIN is validated in real-time against active members at that location.
- 4
Instant check-in
Once a valid PIN is entered, the system checks the student in immediately and displays a confirmation with their name and photo (if available).
- 1
Open kiosk URL
Use the unique kiosk URL provided for your location to open the check-in interface in any modern web browser.
- 2
Full-screen mode
Press F11 (Windows/Linux) or use the browser's full-screen option to remove navigation bars and create a dedicated kiosk experience. This prevents accidental navigation away from the check-in screen.
- 3
Choose your device
The kiosk works on tablets, computers, or any device with a camera and modern browser. Tablets are popular for their portability and touch-screen interface.
- 4
Mounting options
Consider mounting the tablet near your entrance with a secure stand or wall mount. This creates a professional, easily accessible check-in station for members.
- 1
No login needed
A front-desk iPad running the MyDojang app can become a check-in kiosk without ever signing in. On the app's sign-in screen, tap 'Set up as check-in kiosk' below the form.
- 2
Scan from Dashboard → Locations
On the Locations page, click 'Show QR' on the location you want to set up. Scan the QR code with the iPad running the MyDojang app (or paste the location's kiosk token/URL) to pin that device to the kiosk instantly.
- 3
Auto-boot after restart
Once set up, the iPad remembers its kiosk and boots straight back into it every time the app is relaunched or the device restarts — no re-scanning, re-pasting, or signing in required.
- 4
Exiting kiosk mode
A small 'Exit kiosk mode' link appears at the bottom of the kiosk screen when running in the app. Tapping it forgets the saved kiosk and returns to the app's sign-in screen so the device can be reassigned to a different location.
- 5
Guided Access still recommended
Standalone kiosk mode controls what the app shows, but it doesn't prevent someone from leaving the app entirely. For a fully locked-down front-desk device, also enable iOS Guided Access (Settings → Accessibility → Guided Access) so the iPad can't be swiped away to the home screen.
- 1
Enable trial passes
Go to Settings > General and toggle on 'Enable Trial Class Pass'. This feature allows prospective students to sign up for trial classes on a public landing page.
- 2
How it works
Prospective students visit your-studio.mydojang.net/try-a-class and fill out a simple form with their name, email, and phone. They receive a QR code via email that's valid for check-in at the kiosk. Older printed or emailed links in the form mydojang.net/try-a-class/your-studio still work — they redirect to the short URL.
- 3
Check in trial students
Trial students scan their QR code at the kiosk just like regular members. They'll appear in the check-in list with a 'Trial' badge to help staff identify them.
- 4
View trial students
Go to Dashboard > Students and filter by 'Trial' status to see all prospective students who have signed up for a trial class. You'll see their contact information and how many classes they've attended.
- 5
Convert to member
Once a trial student decides to join, click 'Convert to Member' on their profile. Fill in the remaining details (belt rank, program, billing plan) to create a full member account. Their trial attendance history is preserved.
- 6
Trial limits
You can set a maximum number of trial classes in Settings (default is 2). After reaching the limit, trial students will need to convert to a full membership to continue attending.
- 1
Camera permissions
The camera permission is requested once when the first student scans their QR code. After granting access, the camera stays active for all subsequent check-ins — you won't be prompted again. If QR scanning doesn't work, check that the browser has permission to access the camera in your browser or device settings. Using HTTPS ensures the permission is remembered across page reloads.
- 2
PIN not working
If a student's PIN doesn't work, verify that the student has a PIN assigned in their profile. Go to the student's detail page and check the PIN field.
- 3
Check student status
Only active students with current memberships can check in. If a PIN is valid but check-in fails, verify the student's membership status and enrollment.
- 4
Connectivity issues
The kiosk requires an internet connection to validate check-ins in real-time. If you experience delays or errors, check your network connection and try refreshing the page.
- 5
Wrong location
If students are being checked in at the wrong location, verify you're using the correct location-specific kiosk URL. Each location must use its own unique URL.
- 1
What is NFC check-in?
Members tap an NFC key fob, sticker card, or wristband on the kiosk to check in instantly — no phone or PIN required. No data is written to the card; only the hardware UID is used for identification.
- 2
Enable NFC at your location
Go to Settings > Locations, open the location you want to configure, and toggle on NFC Card under Kiosk Check-In Methods. You can also set NFC as the default tab so it opens first when the kiosk loads.
- 3
Assign a card to a member
Open the student's profile and click Assign card. Tap the NFC card or fob on your reader — the UID is captured automatically and linked to that member. Repeat for each member who wants an NFC card.
- 4
Member self-enrollment at the kiosk
Members without a pre-assigned card can self-enroll at the kiosk. They tap their card on the NFC tab and are prompted to enter their 6-digit PIN to confirm their identity. The card is then linked to their account for all future check-ins.

Hardware requirements
Android tablets with built-in NFC need no extra hardware and work in Chrome. For Mac or Windows, use an ACS ACR1255U-J1 Bluetooth reader in Chrome. In a browser, NFC is not supported on iPad or iPhone — Apple blocks Web Bluetooth on all iOS browsers and no external reader option is reliable on that platform; use QR code, PIN, or name lookup instead. The MyDojang mobile app lifts this restriction: iPhones scan cards with their built-in NFC chip (a "Scan card with phone" button appears on the NFC tab), and iPads connect to an ACR1255U-J1 Bluetooth reader through the app the same way Chrome does on Mac/Windows. See the NFC Hardware Setup guide for a full device compatibility table.

What are check-in restrictions?
Check-in restrictions let you automatically block kiosk check-in for students who meet certain conditions — such as having an outstanding balance, exhausting their package plan, or arriving when the class is already full. When a restriction is triggered, the kiosk displays a message prompting the student to speak with staff.
- 2
Block past-due accounts
When enabled, students with any past-due billing record are prevented from checking in. This is useful for studios that want to enforce payment before class attendance. Staff can override the restriction by resolving the billing status or toggling the setting off.
- 3
Block when package classes are used up
For students enrolled on a PACKAGE billing plan (a fixed number of classes), this setting prevents check-in once they have used all the classes included in their package. The count is based on attendance since their enrollment start date.
- 4
Block check-in when class is full
When enabled and a class has a capacity limit set, students are blocked from checking in once the class has reached its capacity. If no capacity is set on the class, this restriction has no effect.
- 5
How to configure
Go to Settings > Locations, open the location you want to configure, and scroll to the Kiosk Settings section. Under 'Check-in Restrictions', toggle each rule on or off. These settings are per-location, so different locations can have different restrictions.
