Automated Messages

Set up automated SMS and email messages to engage with students and parents. Send timely reminders, celebrate milestones, and re-engage inactive students with minimal effort.

What are Automated Messages?

    Automated engagement at scale

    Automated messages let you stay connected with students and parents without manual effort. MyDojang sends personalized SMS and email messages based on student activity, billing status, and milestones.

    Choose from Missed Class, Upcoming Class, Signup Anniversary, Win-Back, Birthday Wish, Welcome Message, and Payment Past Due. Each message type targets a specific engagement opportunity.

    Personalized content

    Messages automatically include student names, class details, and relevant dates. Each message feels personal and timely.

    Multi-channel delivery

    Messages are sent via email and in-app notifications by default. If you have the SMS add-on enabled and Twilio configured, messages are also sent via SMS for faster engagement.

Prerequisites

    SMS add-on (recommended)

    To send automated messages via SMS, you need the SMS add-on enabled on your subscription plan. Without it, messages will still be sent via email and in-app notifications.

    Twilio configuration (for SMS)

    If you have the SMS add-on, configure your Twilio credentials in Settings > Integrations. This connects your studio to Twilio's SMS delivery service.

    Student phone numbers and email

    Ensure students and parents have valid email addresses and phone numbers in their profiles. Automated messages can't be delivered without contact information.

Enabling Automated Messages

    Navigate to Settings

    Go to Dashboard > Settings > Automated Messages to access the automated messages configuration page.

    Review message types

    Review the 7 available message types and their descriptions. Each message type targets a specific engagement scenario.

    Toggle message types on or off

    Use the toggle switch next to each message type to enable or disable it. Changes are saved automatically when you toggle a switch.

    Configure win-back threshold (optional)

    If you enable the Win-Back message type, set the inactivity threshold (3-90 days). Students who haven't attended in this many days will receive a win-back message once per month.

Message Types
  1. 1

    Missed Class

    Sent to students who were enrolled in a class but didn't attend yesterday. Helps parents stay aware of attendance gaps and encourages makeup classes.

  2. 2

    Upcoming Class

    Reminds students and parents about a class scheduled for tomorrow. Reduces no-shows by sending timely reminders the day before class.

  3. 3

    Signup Anniversary

    Celebrates the yearly anniversary of when a student first joined your studio. Builds loyalty and makes students feel valued by recognizing their commitment.

    Win-Back

    Re-engages students who haven't attended any class recently (configurable threshold from 3-90 days). Sent once per month to avoid spamming inactive students.

    Birthday Wish

    Sends a birthday greeting to students on their special day. A simple touch that builds connection and shows you care.

    Welcome Message

    Automatically sent to new non-trial students the day after they sign up. Sets a positive tone and provides next steps for getting started.

    Payment Past Due

    Reminds parents when their billing payment is overdue. Helps you collect payments faster and keeps revenue flowing smoothly.

Student Opt-Out

    Go to student detail page

    Navigate to Dashboard > Students and select the student you want to exclude from automated messages.

    Open the billing or student info tab

    Scroll down to find the automated messages opt-out toggle. It's typically located in the student settings or preferences section.

    Toggle 'Exclude from Automated Messages'

    Enable the toggle to prevent this student from receiving any automated messages. They'll still receive manual messages you send directly.

    Save changes

    Click Save to apply the exclusion. The student will no longer receive any automated messages starting the next day.

Tips for Using Automated Messages

    Start with 1-2 message types

    Don't overwhelm parents by enabling all message types at once. Start with high-value messages like Missed Class and Upcoming Class, then expand once you see engagement.

    Monitor engagement

    Track open rates, replies, and attendance changes after enabling automated messages. If a message type isn't working, disable it and try a different approach.

    Personalize with student names

    Automated messages already include student names and details, but you can customize message templates (if available in future updates) to match your studio's voice and culture.

    Set realistic win-back thresholds

    If you enable Win-Back messages, set the inactivity threshold based on your studio's attendance patterns. For studios with weekly classes, 7-14 days is typical. For monthly seminars, 30-60 days may be more appropriate.

    Combine with manual outreach

    Automated messages work best when combined with personal follow-up. If a student misses multiple classes, send a personal message or make a phone call in addition to the automated reminder.
