Attendance data answers the three questions that run a school: who's slipping (retention), who's ready (belt eligibility), and which classes are full or dying (scheduling). A school that tracks attendance loosely is flying without instruments — every one of those judgments falls back to instructor memory across hundreds of students.
The catch: attendance data is only as good as capture, and capture only works when it doesn't create a line at the front desk. That's a workflow problem before it's a software problem.
Check-in methods, honestly compared
Paper sign-in sheets fail silently — kids skip them, data enters the system never. A staff member with a tablet is accurate but consumes your front desk for the first ten minutes of every class. Wire attendance into belt eligibility
The highest-value use of attendance data is objective testing eligibility: minimum classes since last promotion, per rank, checked automatically. It converts 'is Maya ready?' from a memory exercise into a report, protects instructors from lobbying parents, and quietly raises the standard of every belt you award.
It also motivates attendance itself — when families know 24 classes are required between stripes, Tuesday attendance stops being optional in February.
Three reports worth ten minutes a week
Declining attendance (anyone 50% below their own prior month — your retention call list), class utilization (fill rates per class over the last 30 days — your scheduling evidence), and testing eligibility (who's cleared the bar — your next belt test roster). Schools that review these weekly consistently out-retain schools that don't, not because the reports are clever but because the follow-up happens.
